Exposition Management
- Exposition hall design: coordinate with exhibit sales to maximize sales opportunities and align floor plan with sales activity; work with venue and fire marshal for code compliance, and publish up-to-date information for exhibitors
- Exhibition management: issue RFPs for general and other contractors, facilitate selection process, manage selected vendors, plan and coordinate move-in and move-out, and manage run-of-show
- Exhibitor and sponsor management: assure a positive relationship with each of your exhibitors and sponsors by ensuring deadlines are met, orders are fulfilled and contract deliverables are managed in a timely fashion
Education, Learning & Speaker Management
- Design call for speakers process that allows you to efficiently select sessions and build an agenda that speaks to your attendees education needs
- Develop programs to aid content quality including content organization, speaker coaching, presentation vetting and review processes
- Recommend optimal mix of session styles (lecture, panel discussion, hands-on, peer-led roundtables, etc.) for your audience, considering industry, job function, seniority level and learning preferences based upon generational differences
- Manage the participation of all speakers, ensuring their questions are answered, their presentations are submitted, their special needs are handled and their experience with the event is positive
- Continue personalized support on-site, ensuring last minute changes are seamlessly incorporated, room arrangements are satisfactory, and presentations are loaded in session rooms and online
Registration & Housing
- Assess program requirements including needs related to options mapping, attendee categories, discount and group programs, session selection, data collection, payment processing, agenda scheduling, reporting, segmented room block management, reporting and Q&A support
- Research and recommend appropriate technology tool(s) based on program requirements
- Manage build of online registration portal, set up of call center and coordination process for fax and mail registrations
- Collect, process, reconcile and report payments by wire, check and credit card; design and produce comprehensive and detailed reports
- Define housing needs, negotiate contracts, manage room blocks, manage special concessions and attrition, and produce reports
- Design and manage on-site plan including registration area layout, traffic flow, staffing and equipment requirements, check-in and badge process, literature and premium item distribution, session scanning, reporting, escalation process and payment collection
Financial Management
- Develop an accurate event budget and manage all related financial transactions
- Outline cash flow requirements and prepayment schedule
- Keep you informed by effectively managing budget changes and producing periodic reports including budget vs. projection, projected income and cost alignment plans
- Produce final reports including budget vs. actual report with supporting documentation
